Facility Maintenance Cost Per Square Foot Calculator
Calculate your annual facility maintenance cost per square foot to benchmark operational efficiency and budget effectively.
Formula
Total Annual Maintenance Cost = Labor + Materials & Supplies + Contract Services + Utilities + Administrative & Overhead
Maintenance Cost Per Square Foot = Total Annual Maintenance Cost ÷ Total Facility Area (sq ft)
Example: ($120,000 + $30,000 + $50,000 + $40,000 + $20,000) ÷ 50,000 sq ft = $5.20 / sq ft
Assumptions & References
- All cost inputs represent annual expenditures in US dollars.
- Industry benchmark range of $5–$12 per square foot is based on BOMA International and IFMA (International Facility Management Association) annual benchmarking reports for commercial office and mixed-use facilities.
- Specialized facilities (hospitals, laboratories, data centers) typically fall in the $12–$25+ per square foot range due to higher complexity and regulatory requirements.
- Utilities are included as a maintenance-related operational cost; exclude them if your organization tracks utilities separately from maintenance budgets.
- Labor costs should include salaries, benefits, and payroll taxes for all maintenance personnel.
- Contract services include outsourced janitorial, HVAC, elevator, landscaping, and security services.
- Administrative & overhead costs include management salaries, software (CMMS), insurance, and indirect costs attributable to the maintenance function.
- This calculator assumes a single facility or a portfolio treated as a single unit. For multi-site portfolios, calculate each facility separately and weight by area for a blended rate.
